Booking with your clinic should be as easy as sending a text.
Patients message you, pick a slot, pay the deposit, and get the reminder. Your front desk stops answering the same five questions all day and gets back to the people in front of them.
Ask Sol for an appointment like a patient would and watch it get booked.

What slips away today
What gets lost every week without anyone noticing
01
The 5-to-8 PM rush eats your front desk
It's when the most people text and the fewest hands are free. Whatever goes unanswered that evening is a patient at another clinic by morning.
02
Empty chairs nobody recovers
An SMS reminder nags, but it doesn't collect a deposit, doesn't reschedule in the chat, and doesn't re-offer the slot to anyone. The chair stays empty anyway.
03
Every location answers its own way
Prices, protocols, and tone change with whoever picks up the phone. And leadership sees nothing: not how many ask, not how many are lost, not why.
The journey
Here's how a patient goes from the first text to sitting in the chair.
The system handles everything repeatable; your team steps in when there's a person who needs them.
-
01 Arrives
Texts you on WhatsApp
From Google, your website, an ad, a QR code at the door, or after a call nobody could pick up.
-
02 Picks
Location, provider, and a real slot
The agent reads each location's calendar and offers only what's actually open. No calls, no waiting.
-
03 Books
Deposit collected in the chat
Card in the same thread. A booking with a deposit almost never no-shows.
-
04 Reminds
A reminder they can act on
The day before, to confirm. Can't make it? The slot is released on the spot and re-offered.
-
05 Escalates
A person when it matters
Pain, clinical questions, or a complaint go to your staff with the file and a summary. The agent never gives medical advice.
-
06 Measures
A report per location
Bookings, deposits, recovered slots, and time-to-human, comparable across locations every month.
How a booking goes on WhatsApp
Who does what at each step: the customer, the agent, your calendar and your team.
What the agent does here
What it gets done, playing by your rules
Scheduling
Booked against each location's real calendar
Slots by provider and location, alternatives when it's full, and confirmation without anyone at the desk touching it.
Payments
Deposit in the chat
Card at booking time. It comes off the treatment and it's what makes people show up.
Reminders
Reminders that free the slot
Confirm with one tap. If they can't make it, the slot is freed and offered to whoever is waiting; the new time is arranged by the front desk.
Knowledge
Answers only with what you've approved
Fees, how to prep for a procedure, what to bring, parking. If it's not in your docs, it doesn't make it up.
Handoff
Anything clinical goes to a person
Pain, symptoms, results, or complaints reach your team with context. And time-to-human gets measured.
Metrics
The channel, location by location
Bookings, deposits, no-shows, escalation reasons, and response time. One monthly report someone stands behind.
A day with the system
An ordinary day at a business like yours, told by the channel itself: what happens while the team works, and while it sleeps.
7:40 AM
Before the doors open, three new bookings from last night are already in, deposits paid. The front desk walks in to a finished schedule.
10:00 AM
Tomorrow's reminders go out. Two patients say they can't make it: their slots are freed automatically and offered to the waitlist within minutes.
1:05 PM
A patient sends a voice note from the street. The agent understands it, suggests the nearest location, and books them with the PT for that evening.
6:30 PM
Peak hour. Forty conversations at once: prices, directions, whether you take their insurance. All answered in seconds; nobody's on hold.
10:48 PM
Someone messages in pain after an extraction. The agent doesn't guess: it alerts the on-call doctor and passes the file. Two minutes later, a doctor is on the other end.

What gets measured
The numbers that go into the monthly report
−64%
empty chairs with reminder + deposit
24/7
appointments booked at night and on weekends too
+31%
bookings that arrive already confirmed with a deposit

Impact calculator
How much is slipping away today?
~400
Conversations without a fast reply each month
With a first reply in seconds, those ~400 conversations stop waiting. How many end in a booking or a sale depends on your business: that is what the pilot measures.
Compliance in your industry
What legal will ask, handled for your case
The agent stays out of the medical record
Scheduling, reminders, and payments: yes. Diagnoses, symptoms, and results: no, those go to a person. We don't claim HIPAA certification; we map what touches PHI with you in the diagnostic and keep it out of the agent.
It says it's an AI from the first message
No invented human names. Some states already expect it (California, Utah), and any patient can ask for a person at any time; the system detects it and measures how long it takes.
Reminders only with opt-in
Every reminder goes out with the patient's consent on file, through WhatsApp's official API, in a TCPA-minded setup. No lists, no blasts.
What it connects to
It plugs into the calendar you already use, with no switching software.
Our own scheduler and Google Calendar are in production today. Practice-management systems depend on their API: we check yours in the diagnostic before promising anything.
Questions from your industry
What businesses like yours ask us.
What if a patient asks something medical?
The agent doesn't answer it. It hands the conversation to whoever's on call with a summary and the file. That rule lives in code, outside the model, and it can't be bypassed.
We have several locations with different calendars. Does that work?
Yes, that's the normal case. Each location keeps its calendar, providers, and fees, and the dashboard compares them. We pilot on one location and then roll out.
Can we keep using the clinic's WhatsApp on our phones?
The number moves to the official API and your team works from a shared inbox that does more than the app: assignments, notes, and metrics. You keep your number.
How long until it's live?
Two to three weeks to get one location running, then 30 days of measurement against a target agreed in writing. If it doesn't hit, we don't continue.
